Enquiries

Every new client relationship starts as an enquiry. The Enquiries section is your lead management system — where incoming interest is captured, tracked, and converted into trips (and revenue). Think of it as a sales pipeline built specifically for travel professionals.

Dashboard View

The Dashboard gives you a visual overview of your entire pipeline at a glance:
  • Pipeline stages — see how many leads are sitting in each stage (New, Contacted, Proposal Sent, etc.). A healthy pipeline has leads moving through stages regularly.
  • Conversion rate — the percentage of leads that turn into actual client trips. This is the number that tells you how effective your follow-up process is.
Spot bottlenecks immediately. If lots of leads are stuck at “Contacted” and not progressing to proposals, that’s a signal to improve how you present your services.

List View

The detailed list of every enquiry, with:
  • Source — where the lead came from (website form, direct referral, Rooutie profile, etc.).
  • Status — current stage in the pipeline.
  • Date received — when the enquiry came in.
  • Action buttons — open details, convert to client, or convert to client trip.
Filter and search to find specific enquiries quickly.

Working an Enquiry

Open any enquiry to see its full detail view:

Timeline

Every action taken on this enquiry is automatically recorded in the timeline:
  • When it was received.
  • Every status change.
  • Forms sent and filled in.
  • Notes you’ve added.
  • Communications logged.
This is your audit trail — you always know exactly what happened with every lead.

Sending Forms

Need more information before you can build a proposal? Send a form directly from the enquiry view.
  1. Click Send Form and choose from your form templates.
  2. The client receives an email with a link to fill it out.
  3. Their answers are automatically saved to the enquiry timeline.
This replaces the back-and-forth emails that slow down the qualification process.

Converting a Lead

When an enquiry is ready to move forward:
  1. Open the enquiry details.
  2. Click “Convert to Client Trip”.
  3. A new trip is created — pre-filled with whatever information the lead provided.
  4. Build out the full itinerary in the Trip Editor and send it as a proposal.
You can also Convert to Client to add the person to your CRM first, then create a trip for them separately.

Capturing Leads Automatically

Connect a Form to your website’s enquiry form. When someone submits it, a new enquiry appears in your dashboard automatically — no manual entry required.
