Gathering client information is one of the most time-consuming parts of the travel agent workflow. Every new client means asking the same questions: Where do you want to go? What’s your budget? Any dietary needs? Passport details? Rooutie Forms let you build reusable questionnaires, send them to clients with one click, and have their answers saved automatically to the right client or enquiry — no copy-pasting, no email searching.

What You Can Build

Create forms for any purpose:
  • Trip preference questionnaires — destination interests, travel style, budget range, accommodation preferences.
  • Intake forms — gather everything you need from a new client in one shot.
  • Passport and document collection — collect passport numbers, expiry dates, and visa information securely.
  • Post-trip feedback — understand what went well and what to improve.
  • Travel group forms — collect individual details from every member of a group trip.

Creating a Form

  1. Go to Forms in the agent sidebar.
  2. Click “New Form”.
  3. Add your questions — text fields, multiple choice, dropdowns, date pickers.
  4. Save and name the form template.
Form templates are reusable — build once, send to many clients over time.

Sending a Form

Send from anywhere in the workflow:
  • From an Enquiry — send a qualification form to understand what a lead is looking for before you spend time on a proposal.
  • From a Client Trip — request missing information mid-proposal (passport details, dietary needs, flight preferences).
  • From a Client Profile — send a general preferences form to update a long-term client’s profile.
The client receives an email with a personalised link. They fill it out in their browser — no Rooutie account required. Their answers are automatically saved back to the relevant enquiry, trip, or client profile in your dashboard.

Website Integration

Embed a form on your website to capture enquiries automatically:
  1. Select a form and get its embed code.
  2. Add it to your website’s contact or enquiry page.
  3. When someone submits it, a new Enquiry appears in your dashboard automatically.
